Following a busy year and as we enter the next stage of our journey, the Coveted Creates team is now working with almost 30 charities and foundations in the UK and beyond. At this time of growth, we’re looking for an Events Administrator to join the team and work with some incredible global organisations in our busy events season, including awards, conference and gala events.

About you

We’re looking for someone who has demonstrated that they can work in an agile and fast-paced environment, with fantastic initiative and a willingness to learn new things. Ideally you should have acquired some experience of working on events projects and working in an office environment. You may have been working in events or a related creative industry - either way, you’re hungry to learn and develop the skills to become an events organiser.

  • You have exceptional attention to detail - you’re able to proofread and copy edit brochure content, speaker presentations and host scripts, as well as input data into our CRM

  • You have strong communication and IT skills - you feel comfortable using both Microsoft and Google packages, aren’t phased by complex spreadsheets and working with data, and have incredible attention to detail

  • You are highly organised - you’re the usually the one that organises your friends and family, with bountiful common sense and an ability to manage multiple projects seamlessly

  • You’re a people person! You love working with and building relationships with other people and are used to working with stakeholders at all levels.

  • You care about good causes - from climate change to humanitarian projects to medical research to the arts, you’ll have a real opportunity to make a difference!


THE ROLE

Reporting to the Senior Events Producer, we’re looking for an Events Assistant to:

  • Provide strong administrative support to the team (60%) by:

    • Developing a strong competency with our event management system, EMMA Live

    • Collating and managing guestlists

    • Creating event materials

    • Booking in and minuting meetings

    • Working with our CRM (Hubspot)

    • Using project management tools (such as Monday.com)

  • Attend a series of events throughout the events season, including galas, dinners and conferences, supporting with registration and acting as a runner for the Senior Events Producers (15%)

  • Research and liaise with venues and suppliers (10%)

  • Support with New Business approaches including following up for meetings and editing and producing proposals (10%)

  • Provide ad hoc support and diary management to the Directors and Senior Events Producers (5%)


The calendar

Our calendar is varied and sees us working with 30+ charities annually on a diverse mix of projects and events. The Events Administrator would support the team on a portfolio of events throughout the season, attending 10+ events during this time. It’s an ever-changing calendar and as new events come in, we look at capacity, experience and relationships to make a decision about where things sit and the resource needed.

Ways of working 

The main ‘way of working’ to highlight is one of trust and autonomy – we firmly believe in finding the right people and trusting them to understand how they work best and what work-life balance means. In terms of some of the key details:

  • We work out of 180 Strand - Soho Works on Tuesday and Thursday alongside our sister organisation, EMMA Live 

  • Outside of that, the team can work remotely, however you will get access to Soho Works spaces in Shoreditch, Soho and White City

  • As standard, most of the team work around the hours of 9-5 however we’re very flexible around childcare, travel and other commitments

  • We encourage individuals to take TOIL for events (within the two weeks after an event)

  • As a team, we have a weekly check-in on projects and a weekly new business call for some of us and you would also have a weekly 1:1 with your line manager

  • As a new team, we’re building our culture with twice-yearly whole team reviews and regular socials
